Cadent Medical Communications, powered by Syneos Health, is seeking a Reconciliation Specialist to assist the program specialists and program managers in processing key financial data across multiple meetings. Manages expense reimbursement payments, creates open payments/transparency reports, and creates and updates budgets as needed and may manage execution of physician consulting agreements speaker bureau and live or virtual meetings.

Responsibilities

  • Manages assigned aspects of financial reporting including creating and updating budget and reporting templates, processing expense reimbursements, assisting with data migration into the spend management system, tracking and reconciling program budgets, and entering final program spend into the meeting management system.
  • Manages consulting agreements between pharmaceutical company and physician institution
  • Interacts with internal and external customers and vendors while helping to expedite work activities.
  • Performs calculations, creates reports, and produces moderately complex spreadsheets
  • Ensures client guidelines and business rules are followed
  • Process and code vendor invoices through AP
  • Ensures all out-of-pocket costs are within compliance
  • Mails and tracks honoraria and travel expense payments to speakers
  • Communicates with speakers/attendees regarding honoraria and/or expense reimbursements
  • Pulls back-up documentation for reconciliations and audits
  • Pulls back-up documentations for internal team members as it relates to programs
  • Collect W9 tax forms if they are not in our database
  • Open Payments Reporting
  • Ability to meet established deadlines
  • Ability to communicate clearly and effectively with logistics and account services
  • All other meeting related tasks as needed and approved by manager

Job Requirements

Required:       

  • Minimum Associates Degree or equal work experience
  • 2 years business experience       

Job Qualifications:

  • Microsoft Office
  • Mastery and common sense of Excel is in your blood – Yes Profiency!

  • Can use resources (people, material, support) effectively and efficiently                                                                               
  • Keeps files organized and up to date on a Shared Drive – saving to your desktop will not work

  • Ability to learn and follow established process and procedures
  • Prioritizes work and asks for direction when overwhelmed or uncertain
  • Understands how to separate and combine tasks into efficient work flow                                                                              
  • Familiarizes and adapts to each client’s process

  • Monitor calendar for scheduled activities and comes prepared to internal meetings
