Responsibilities

The duties and responsibilities of the Meeting Planning Manager require the ability to communicate well with customers and venues. Manager must pay careful attention to detail using information from several sources to plan a successful event. Other Meeting Planner responsibilities include:

  • Meet with clients to understand the purpose of the meeting or event
  • Managing and budgeting customer finances
  • Working with travel vendor to present appropriate venue options suitable for the type of event
  • Reviewing invoices and approving payments
  • Presenting post-event reports as appropriate
  • Possessing knowledge of geographic locations and their main attractions
  • Organizing audiovisual equipment in advance
  • Managing all logistics including coordination of hotels, travel, transportation
  • Managing all coordination of Food & Beverage: catering, menu planning & management of BEOs
  • Maintain awareness to local/venue safety protocols that may be in place; ensuring safety protocols are made aware to all attendees
  • Attending and monitoring activities to ensure client satisfaction

Job Requirements

REQUIRED

 

  • Provide outstanding customer service
  • Effective written and oral communication skill
  • Efficient organization and time management abilities
  • Ability to multitask
  • Must be calm and personable under pressure with strong budget management, staff management, interpersonal skills with all levels of management
  • Exhibit an ability to perform well in a highly dynamic, rapidly changing environment
  • Ability to work independently
  • Detail oriented
  • 3-5 years of meeting planning experience
  • 3+ years of relevant knowledge in a client delivery/service company in lieu of college degree
  • Proficiency in Microsoft Office applications (SharePoint, Excel, PowerPoint, Word) 

 

PREFERRED

 

  • Associate’s or BA/BS Degree
  • Prior experience working in field sales administration/operations position in the life sciences industry
  • Basic understanding of Life Sciences Commercial operations to include Sales, Medical Affairs, Market Access, Nurse, and Contact Center programs
